BUYING GUIDE FOR SERVICE BUSINESSES
Excel, CRM or Custom Software? A Business Buying Guide
Choose software around one complete client job: enquiry, quote, delivery and payment record. A spreadsheet may be enough for a simple process. A CRM can help with sales follow-up. A configured system is worth assessing when the team needs a shared view of clients and ongoing work.

| Approach | When to consider it | What to check |
|---|---|---|
| Spreadsheet | A small, simple process with a clear person responsible for keeping records current. | Who edits it, how you avoid conflicting copies, how you control access and keep backups. |
| Subscription CRM or business software | You want an existing product and can work within its available features. | User and module charges, project features, export options, support and contract terms. |
| Configured private system | You want a separate installation with your branding and standard client, quote and project modules. | Exactly what setup includes, language and permission requirements, hosting conditions and extra work. |
| Custom software | Your essential workflow cannot be handled by a suitable existing product or standard configuration. | A written specification, a working demonstration, acceptance criteria, maintenance and a separate development quote. |
Test the same job in every demonstration
Use a fictional example, such as a design studio quoting for a company brochure. Do not upload real customer information just to compare products.
- Create a client and find their contact information again.
- Prepare an itemised quote and check how its status is recorded.
- Create the project, assign a responsible person and set a deadline.
- Review the tasks and find the latest state of the work.
- Inspect how invoice records, received payments and outstanding amounts are shown. Recording payment must not be confused with charging a customer.
- Ask how a staff member’s permissions, data exports and account handover work. Confirm anything the public demo does not show.
What to send when requesting a quote
Describe your business activity, team size, current tools and one process that is difficult to manage. List the languages, permissions and integrations you need. For migration, describe the type and approximate quantity of records first; arrange a suitable transfer process before sharing customer files.
Compare the whole cost and scope
Separate licence or subscription, setup, data migration, integrations, storage and support. Ask what happens when you add users or end the service. A one-time setup price does not by itself mean unlimited changes, lifetime hosting or ownership of the source code.
Custom software for your business
Client Workspace shows some of our client, quotation, project and operational workflows. We also build custom CRM, booking, stock, loyalty and business systems around your requirements. Projects range from €500 to €5,000; larger or more complex requests may cost more. Contact us for a free quote. Your proposal confirms scope, delivery, hosting and other operating costs.
We serve businesses in Portugal and Spain remotely from Porto. Country-specific invoicing and accounting requirements need separate assessment. Do not assume this system replaces compliant invoicing or accounting software. The public demo, screenshots and purchase page are currently English; confirm installation languages before ordering.
